The challenge

Delicatessen with tradition

Feinkost Käfer stands for enjoyment, for Munich, for tradition. Throughout Germany. The continuing trend of having selected delicacies delivered to your home is the driving force behind a new development of the Käfer online store. In order to shine online with maximum user centricity, the traditional company known for its excellent customer service needs a system that is tailored to Käfer’s individual workflows and processes as well as its wide range of products. This also includes events, digital greeting cards and other “virtual” items whose processes need to be adapted accordingly after purchase.

System landscape with legacy

A historically grown legacy landscape was to be included in the technological planning, as were interfaces to existing tools. One of the main challenges was to seamlessly connect the store system to these interfaces in order to ensure the smooth exchange of business-critical data. The interface to the merchandise management system was important in order to keep master data and product information up to date. The export of invoices, credit notes and order information to the financial accounting system was also essential, as was the automated provision of the latest product catalog to external delivery services such as Lieferando, Wolt and UberEats. In addition to half-hourly check-ups, a fully automated data synchronization now takes place every day at around 10 p.m., during which promotional prices or similar are transferred for the next day.

Connected data

The new store must be able to process large volumes of data and order information. Käfer needs a wide range of regulations, options and restrictions when it comes to shipping – customized solutions are required. This is because the majority of the product range is linked to various shipping options: depending on the recipient’s zip code, product size and shelf life, DHL, UPS Express, standard international, local delivery, delicatessen catering delivery or fresh delivery can be considered for delivery. For pick-ups and express orders, a date can be selected in the daily selection; some orders are also only possible from or up to a certain time. At the same time, the store should also be easy for employees to use and thus reduce their workload. This is where the old system based on Shopware5 reaches its limits over time. One thing is certain: it needs to be replaced. But … which one?

The tool can not only map the high functional complexity of the Käfer universe, but also simplify it in many respects. New features can be easily integrated without major programming effort, while Shopify enables seamless management of product data, order processes and categories. The automation of processes ensures optimized workflows in marketing and sales, while clear analysis tools enable quick and well-founded decisions to be made. The flexibility in design and storytelling was also particularly convincing, but Shopify also scores points economically: with fair licensing models, quick setups and a broad partner network. The decision to switch from Shopware5 to Shopify is not only easy, but also strategically sound and with a clear view of the future of the digital delicatessen experience.

UX focus

For people with taste

Shopping at Käfer is always a great experience – even online. That’s why a UX audit, testing and the development of a clear information architecture were carried out before the technical setup.

After a strategic requirements workshop, testing was carried out with two representative representatives of the defined target groups. In addition, our UX expert carried out an audit to determine the status quo of the website (or store) in order to identify initial optimization potential and recommendations for action for the relaunch. A competitive analysis developed with the strategy department strengthened the positioning of the Käfer online store, while persona and vision statements rounded off the results.

The information architecture was then rethought from scratch. Not just in the store itself, but across the entire website. The goal: a seamless, inspiring experience with intuitive navigation, smart cross-linking and integrated cross-selling. Users should feel well looked after and advised at all times, just like in a local store, and also be able to find their way around easily. We developed our own filter and navigation concept for the product area: intuitive, streamlined, user-centric. With categories that adapt to the content (e.g. vintage filter for wine), product labels in the tile overview (e.g. vegan/vegetarian) and smooth navigation that makes it easy for customers to find what they are looking for.

Not all shipping labels are the same – the standard Shopify apps are not sufficient to map Käfer’s complex shipping logic and efficiency requirements. That’s why our development team is developing two customised Shopify apps:

The shipping app for DHL/UPS
automatically calculates the weight per parcel, enables multiple labels to be created for an order and allows superfluous labels to be deleted – which is important as each label would otherwise be charged individually. Re-dispatch, returns or partial deliveries can also be easily mapped, including reprinting the labels.

The “Käfer Printer App”
also ensures smooth processes in the warehouse: it generates pick lists and sorts them according to previously defined product categories so that the team can compile orders quickly and efficiently. Whether delicatessen, chocolates or gift sets: this solution not only maintains an overview, but also the Käfer quality promise.

Whether for a birthday, Christmas or as a small gift in between: Käfer is the perfect gift for personalised moments of indulgence. We redeveloped the gift configurator for this purpose – with a clever UX concept, fresh design and smart technology. Users appreciate the much more intuitive, inspiring experience when putting together personalised gift boxes.

The step-by-step configuration guides users clearly and simply through the selection process, while visual illustrations further optimise the shopping experience. One new feature, for example, is a filling line that shows how much space is left in the selected packaging. In the end, the gift lands in the shopping basket as a single, clearly arranged order, including all personalisations.

Landing pages are retail space, only online! And Käfer, with its variety of indulgence worlds, offers a very large number of subpages in the environment of the actual corporate website. That’s why we opted for a powerful, modular CMS and integrated a customised page builder app within Shopify.

The customised modular system gives the editorial team maximum flexibility when maintaining the content. It includes smart plugins – e.g. for contact forms – and creative elements for compelling storytelling, cross-media links and themed campaign pages. Always brand-orientated, inspiring and, of course, fully responsive.

Welcome emails, discount promotions, shopping basket reminders … Shopify offers numerous options for automated customer communication. We have designed and set up many of these features specifically for Käfer. Even though some processes now run externally, central marketing automations are still anchored in the system. Simple, effective and close to the brand.

When it comes to analytics, we rely on clear insights instead of a flood of data: Shopify already offers comprehensive analysis functions. We have integrated these into the backend via our own dashboards – for a quick, well-founded overview of performance, user behaviour and conversion potential.

To find the visual basis for the Käfer shop, we first analysed a variety of Shopify themes. Our art director searched for a visually and functionally suitable basic framework, which was then consistently translated into Käfer branding.

Colours, typography, imagery and interactions now convey Käfer’s brand character and create an unmistakable online experience. Customised modules complement the existing modular system. This allows the Käfer team to design new, CI-compliant pages easily and efficiently – without compromising on usability or design freedom.

To ensure the reliable functionality of Käfer’s existing tool interfaces, we decided to implement a regular, automatic import of new products and the synchronisation of stock levels from the ERP system. Incoming orders, cancellations and changes are transferred to the financial accounting system reliably and on time. The product portfolio is also exported via various interfaces so that all connected delivery services always have access to the latest data. This ensures an efficient, error-free data flow across all systems.

With the new Shopify system, Käfer is ideally positioned for future-proof growth, both nationally and internationally. The marketing team is very familiar with the new user interface and has a comprehensive overview of all activities in the online store thanks to the integrated analysis tools. With the help of flexible features and interfaces, adjustments or changes can be made quickly and easily.

And the customers? They can enjoy their website visit to the full: Anyone looking for something will find it quickly. Anyone browsing will be inspired. Those who order can rely on an intuitive, smooth and inspiring purchasing process.
